Achieving almost all of the many benefits of Product Lifecycle Management (PLM) systems will depend on effective BOM management. Two best practices include 1) product structuring that meets the needs of the entire organization and 2) the highest level of accuracy so users fully trust the BOM system.

Proper structuring of the product is necessary to ensure that the organization's diverse BOM needs are met. For Enterprise Resource Planning (ERP) systems, the diverse needs include costing, material issuing, and modular/pseudo BOMs for planning and forecasting purposes. However, Design Engineering's viewing needs are different, for example, displaying BOMs by balloon (or find) number on the drawing. The needs of Service and Recycling engineers may be just as different.

Adequately addressing BOM structuring and accuracy is impossible without considering the interrelationship to all other system needs, such as drawings, routings and traceability, to cite just a few. Early in the development cycle, Manufacturing Engineering should coordinate with Design Engineering for product structuring efforts. Such an approach should minimize, or ideally negate, restructuring when the Engineering BOM is released to the ERP system. In other words, the past approach of "throw the prints over the wall" is no longer acceptable. The spirit of Concurrent Engineering must prevail.

A high level of data accuracy is fundamental to operate any system at peak efficiency. For BOM, the standard is 100% accuracy - essential in an era of compressed product delivery cycles and lean environments. Failure to deliver on time - caused by BOM errors - is too costly.

A measurement system for BOM Management involves continuous checking of at least the basic elements of the BOM: correct part number, unit of measure and quantity per next assembly. Checking also involves reconciliation of the designated data elements with earlier versions of the BOM in the product lifecycle. Sources of errors must be identified by individual responsibility to catalyze corrective action.

Moreover, it is also necessary to continuously monitor the processes of BOM management over its lifecycle to ensure timely release of the product to meet company objectives such as "time-to-market."

Periodic audits of BOM policies and processes are valuable to ensure peak efficiency. Audits may uncover costly work-around solutions, such as Excel spreadsheets, created to overcome weaknesses in the current BOM structuring and reporting methods. A typical result when users don't trust the system.

An audit can be a catalyst to improve a currently under-performing PDM system. And for companies seeking to justify a PLM system, an audit can be an excellent first step in that direction. Typical questions to investigate - a "No" answer demands corrective action - include:
  • Have all parts/items been identified for inclusion in the product structures, such as floor stock and non-parts?
  • Has the use of "phantom" coding been clearly defined to eliminate unnecessary product structure levels?
  • Have the BOMs been structured in as few levels as possible for Manufacturing ease of use, yet still meet the needs of Design Engineering?
  • Have users of the ERP system avoided "gimmicking" data elements of the product structure?
  • Is the BOM structure suitable for use in product costing?
  • Have the lifecycle stages of BOM versions, revisions and effectivity been properly synchronized?
  • Have the parts in the BOM been identified as to "Operation Assembled On" linked to the routings for efficient parts staging and issuing?
These questions are a few examples of those to include in a comprehensive audit, coupled with continuous measuring to implement effective BOM management - an essential foundation to achieve the many benefits of a PLM system.
